Role Overview

  • The Real Estate & Property Management Associate will play a key role in the oversight and coordination of a diverse portfolio of personal, vacation, and rental properties on behalf of client families. The portfolio currently includes 15+ properties across the U.S. and international markets, including single-family residences, duplexes, triplexes, short-term rentals, and personal residences.
  • This remote, near-shore role requires strong organizational and analytical skills, real estate experience, and the ability to collaborate with multiple stakeholders across geographies. The Associate will report to the Associate Vice President (AVP), Client Service, and will work closely with property managers, accountants, and the family office advisory team to ensure effective oversight, accurate reporting, and smooth operations.

Your responsibilities

  • Portfolio Oversight & Coordination
  • Serve as day-to-day liaison with property managers, ensuring timely updates on leasing, maintenance, and operating performance.
  • Monitor property-level metrics, including occupancy, rental income, operating expenses, and maintenance costs.
  • Track lease terms, renewals, and compliance deadlines.
  • Reporting & Analysis
  • Maintain centralized property records and financial tracking (spreadsheets, rent rolls, expense logs, etc.).
  • Prepare consolidated monthly and quarterly reports summarizing financial performance, variances, and property updates.
  • Support preparation of year-end summaries for integration with accounting and tax reporting.
  • Transaction & Project Support
  • Assist with due diligence, document collection, and coordination during acquisitions, refinances, or sales.
  • Support special projects such as renovation tracking, insurance renewals, and property tax reviews.
  • Stakeholder Coordination
  • Interface with property managers, accountants, insurance providers, and other vendors as needed.
  • Provide timely communication and reporting to the family office advisory team. (Direct client interaction will be minimal.)
  • Strong written and verbal communication skills in English (C1 level or higher).
  • 3+ years of hands-on experience in U.S. real estate — including asset management, property management oversight, or financial/operational coordination within residential real estate.
  • Strong understanding residential property operations (single-family, small multi-family, and short-term rentals). -U.S. experience is a plus (not mandatory)
  • Proficiency in spreadsheet-based financial tracking and reporting, with the ability to consolidate data across multiple properties.
  • Experience working with high-net-worth families, family offices, or private investment contexts preferred.
  • Excellent organizational skills, attention to detail, and ability to manage competing priorities across multiple geographies.
