  • Position Summary
  • This role serves as the operational backbone and trusted partner to the Consulting Division’s leadership. This individual drives the internal rhythm of the business—ensuring flawless coordination across projects, people, and priorities—while enabling the leadership team to focus on strategic growth and client delivery.
  • This role requires exceptional professionalism, organizational mastery, and an ability to anticipate needs before they arise. The ideal candidate has experience working with senior executives, excels in fast-paced environments, and demonstrates an uncommon attention to detail and follow-through.
  • Key Responsibilities
  • Executive & Operational Coordination
  • Coordinate high-level meetings across multiple time zones for executives, clients, and project teams.
  • Manage the operational cadence of the Consulting Division—including executive calendars, leadership reviews, and cross-departmental updates.
  • Serve as a key liaison between executives, internal teams, and external partners, ensuring clarity, discretion, and seamless communication.
  • Handle confidential materials and sensitive communications with utmost professionalism.
  • Program & Project Management
  • Oversee project timelines, deliverables, and team resourcing to ensure on-time, on-budget delivery.
  • Track and report progress across multiple consulting engagements, keeping leadership informed of milestones, risks, and dependencies.
  • Maintain visibility into the project pipeline, ensuring proactive planning and follow-up on leads, proposals, and client opportunities.
  • Support project teams by setting up new digital workspaces, secure file rooms, and collaboration environments.
  • Process & Infrastructure Management
  • Lead operational process improvements and ensure consistent onboarding experiences for new team members.
  • Create, document, and manage internal processes that drive efficiency, compliance, and accountability.
  • Partner with IT and compliance teams to maintain secure information management practices and data rooms.
  • Oversee contract lifecycles, from drafting through signature and archiving.
  • Client & Business Development Support
  • Coordinate and prepare client-facing materials, including proposal packages, pitch decks, and capability presentations.
  • Manage internal review and approval workflows for proposals and statements of work.
  • Support the preparation and delivery of board and executive-level communications.
  • Financial & Administrative Support
  • Assist with budgeting, invoicing, and billing practices; ensure alignment with finance and accounting teams.
  • Track project hours, allocations, and utilization rates to ensure profitability and resource balance.
  • Monitor and reconcile project-related expenses.
  • Quality Control & Communications
  • Review and proofread reports, client deliverables, and executive correspondence to ensure accuracy, clarity, and professionalism.
  • Uphold and reinforce brand standards and tone across all communications.
  • Prepare executive summaries, briefing notes, and follow-up action lists for leadership.
  • Qualifications
  • Education: Bachelor’s degree required.
  • Experience: Minimum of 5 years in operations, program management, or executive support within a consulting, professional services, or technology firm.

Skills & Attributes

  • Exceptional organizational and multitasking skills; able to manage multiple concurrent initiatives.
  • Proven ability to work effectively with senior executives and board members.
  • Mastery of Microsoft 365 / Google Workspace, PowerPoint or Keynote, and virtual collaboration platforms (Teams, Zoom, Slack, etc.).
  • Financial acumen and understanding of professional services billing models.
  • Discretion, diplomacy, and the ability to handle confidential matters with professionalism.
  • Superior written and verbal communication skills, including editing and proofreading excellence.
