Location: [Remote] Employment Type: Full-Time About Us Opportunity to work with a premier dermatology and aesthetics clinic dedicated to providing luxury patient care and innovative skin treatments. As we continue to grow, we are seeking a proactive and patient-focused coordinator to manage new patient inquiries, appointment scheduling, and outreach to our existing patients. Position Overview The Patient Care & Lead Conversion Coordinator will be responsible for handling all inbound appointment requests and inquiries generated from Facebook Ads, Google Ads, and other marketing campaigns. This role also includes proactive patient outreach to existing patients to encourage scheduling follow-ups, treatments, or consultations. The ideal candidate will have prior healthcare experience, excellent communication skills, and a strong focus on patient experience and customer service. Key Responsibilities Inbound Lead Management Respond promptly to all new patient inquiries from Facebook Ads, Google Ads, and the clinic website. Qualify leads, answer initial questions, and convert inquiries into scheduled appointments. Track lead sources and maintain accurate records in the CRM/EHR system. Patient Outreach & Retention Conduct outbound calls, texts, and emails to existing patients to schedule follow-up visits, treatments, or check-ins. Build strong patient relationships by providing timely, empathetic, and professional communication. Assist with re-engaging inactive patients and filling gaps in the clinic’s appointment schedule. Appointment Scheduling & Coordination Manage patient scheduling to optimize provider calendars. Confirm and remind patients of appointments to reduce no-shows. Coordinate with front desk and clinical staff to ensure smooth patient flow. Administrative & Reporting Maintain lead and patient databases with accurate documentation. Provide weekly reports on lead conversion, patient outreach efforts, and scheduling performance. Collaborate with the marketing team to share insights on lead quality and patient engagement. Qualifications Minimum 2+ years of healthcare or medical office experience (dermatology or aesthetics strongly preferred). Proven track record in patient scheduling, lead conversion, or customer service roles. Strong communication and interpersonal skills (phone, text, email). Detail-oriented with excellent organizational and follow-up skills. Comfortable working with EMR/EHR and CRM systems. Sales or patient conversion experience is a plus.
