Virtual Assistant Brief – Bodology Role Overview Bodology is a fast-growing wellness brand redefining hormone and metabolic health through science-backed supplements. A key part of Bodology’s growth strategy is influencer and affiliate marketing. Each month, we aim to onboard 20 new affiliates, requiring outreach to 100–200 potential creators. Affiliates are sourced directly from TikTok via Bodology’s account using a proven messaging cadence. This role executes and scales the affiliate engine — identifying partners, managing outreach and onboarding, nurturing affiliates, and ensuring consistent posting. You’ll also assist with marketing operations, inventory tracking, and supplier coordination to ensure smooth operations and timely campaign delivery. Key Responsibilities A. Affiliate Program – Sourcing & Onboarding • Research and source potential TikTok affiliates aligned with Bodology’s niche (PCOS, fertility, metabolic health, wellness). • Use approved messaging cadence templates for outreach. • Manage full onboarding flow: • Send contracts • Arrange product samples on Shopify • Add affiliate to portal (GoAffPro / TikTok Shop) • Add all positive or interested responses to a nurture list until onboarding is complete. B. Affiliate Management – Ongoing • Maintain relationships with onboarded affiliates through monthly check-ins and community updates. • Send BCC-style nurture emails (guided by CEO) to keep affiliates engaged and informed about: • Key marketing activities • Campaigns they can join • Product news or discount codes • Follow up on responses and affiliate questions promptly. • Remind CEO when new nurture emails or calendar updates are due. • Ensure affiliates feel supported, valued, and motivated to post regularly. C. Affiliate Payments • Prepare monthly affiliate payout lists. • Collect and maintain affiliate payment details. • Coordinate with CEO for final approval and payments. D. Marketing Calendar & Project Management • Maintain and update the marketing calendar (provided by CEO). • CEO provides marketing strategy, campaign ideas, and content direction. • Manage the operational side: keep the calendar organized, accurate, and up to date. • Ensure all scheduled activities (emails, blogs, website updates, social posts) are completed as planned. • Follow up with team members (writers, designers, editors) to confirm execution. • Flag any missed or delayed deliverables early. E. Inventory & Budget Tracking • Review inventory levels monthly and flag reorder needs early. • Liaise with suppliers to manage production timelines, deliveries, and restocks. • Monitor and record budgets and cashflow in QuickBooks; update the Google Sheets forecast monthly. • Support CEO in maintaining cost visibility and ensuring supply continuity. F. Social Scheduling • CEO works directly with content creators and video editors on social and ad content. • Schedule and ensure this content posts according to the marketing calendar. • Keep the calendar aligned with live and planned activity across social, email, and affiliate campaigns. • Follow up on scheduled posts and ensure rollout matches timelines. G. Ad-Hoc Support • Provide flexible support for daily operational needs, including: • Responding to light customer inquiries using approved templates. • Supporting press or retailer outreach when required. • Assisting with miscellaneous administrative or operational tasks as they arise. Skills & Requirements • Excellent project management and organizational skills. • Comfortable with: • Google Sheets & Drive • QuickBooks (or similar) • Affiliate portals (GoAffPro, TikTok Shop) • Social scheduling tools (Later, Planoly, etc.) • Detail-oriented and proactive in keeping processes moving. • Comfortable working with someone with ADHD. Reporting & Workflow • Weekly check-in with CEO to review priorities. • Daily updates via Google Chat/Email on progress and blockers. • Keep all trackers (affiliate, inventory, marketing calendar) current and accurate.
