I’m a US-based executive/founder with a full-time job and a SaaS side project. I’m looking for a LONG-TERM virtual assistant who can do two things well: Business / revenue grunt work (primary) Personal life logistics (secondary but fully owned) This is an execution role, not a strategy role. I decide direction, you run the machine. 1) Business – Lead Gen & Ops Execution (Primary) You will help me drive basic, consistent activity for my SaaS: Lead research & list building Use my criteria/ICP to find target companies (small trades/service businesses). Build and clean lead lists in Google Sheets: Company Contact name + role Email Website Location Tags (niche, size, notes) Outreach setup & maintenance Take the email templates and sequences I provide and set them up in an email tool (e.g., QuickMail or similar). Apply simple personalization rules (name, company, niche) that I define. Track sends, bounces, unsubscribes, and replies. Pipeline tracking Maintain a simple pipeline/CRM or Google Sheet: New → Contacted → Replied → Interested → Demo → Customer Keep everything accurate and up-to-date. Weekly numbers Send a short weekly report: of new leads added of outbound messages sent of replies of demos / strong interests Documentation Turn your recurring tasks into simple SOPs/checklists so it’s easy to repeat and improve. 2) Personal – Life Logistics & Admin (Secondary) Goal: I shouldn’t have to think “I need to book X” more than once. Examples: Reservations & events Book restaurant reservations, add notes (birthday, occasion, etc.). Coordinate things like getting a specific bottle of wine delivered to a restaurant before dinner. Appointments Book car service/oil changes, basic home services, and other appointments. Confirm details and add them to my calendar. Golf / leisure Find and book tee times based on my preferences and schedule. Weekly “Life Ops” summary Simple summary of what you booked/handled, what’s coming up, and what’s waiting on me. Tools You should already be comfortable with: Google Sheets (sorting, filters, basic formulas) Google Docs, Gmail, Google Calendar Any CRM or outreach tool (HubSpot, Pipedrive, Apollo, Woodpecker, QuickMail, etc. – at least similar experience) LinkedIn and the open web for research Requirements Excellent written English and clear communication. Strong attention to detail; you care about clean data and organized trackers. You follow instructions/SOPs but ask questions when something is unclear (you don’t guess blindly). Reliable internet. Able to overlap at least 2 hours with US Eastern Time on weekdays. Comfortable mixing business tasks and personal logistics for one client. Hours & Rate Start at ~15–20 hours per month. Hourly budget range: $8–15/hr, depending on experience. Preference for long-term collaboration. How to apply (follow these exactly) If you don’t follow these, I won’t respond. Share: Your hourly rate Your time zone How many hours per week you’re available In 3–5 sentences each: - Describe a time you helped a client with lead generation or outreach (what you did and tools you used). - Describe a time you helped a client stay organized (calendars, tasks, trackers, SOPs). Mini Proof – Personal: I have a dinner planned for my wife’s birthday at a nice restaurant and I want her favorite bottle of wine waiting at the table when we arrive. In 4–6 bullet points, explain exactly how you would handle this from start to finish. Mini Proof – Business: We want to target small mobile pet grooming companies in North Carolina for a scheduling tool. In 4–8 bullet points, explain: Where you would look to find these companies What data you would collect for each company How you would structure the Google Sheet (column names)
