Administrative Assistant to the VP of Ni' Nava & Associates Position Overview: Ni' Nava & Associates is seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to the Vice President. Please note, ability to travel to the US or to obtain necessary documentation to do so is preferred. This role is crucial in ensuring the smooth operation of day-to-day activities, facilitating communication, and enhancing the productivity of the VP. The ideal candidate is detail-oriented, adaptable, and capable of managing multiple tasks in a fast-paced environment. Pay during 90 day trial period will be $350/monthly to be reevaluated after the trial. Key Responsibilities: Executive Support: Manage and organize the VP's calendar, including scheduling meetings, appointments, and travel arrangements. Coordinate and prepare materials for meetings, including agendas, presentations, and follow-up actions. Handle confidential and sensitive information with discretion. Communication and Coordination: Act as a liaison between the VP and internal/external stakeholders, ensuring clear communication. Screen and prioritize emails, phone calls, and other correspondence on behalf of the VP. Draft and proofread emails, memos, and reports On-site event support as needed. Administrative Tasks: Maintain and organize digital files and records. Prepare expense reports and manage reimbursements. Assist in organizing company events, meetings, and other activities as required. Project Support: Assist in managing special projects, including research, documentation, and coordination of deliverables. Collaborate with team members to ensure project timelines and goals are met. Helping draft booklets and presentations for clients: Qualifications: Proven experience as an administrative assistant, executive assistant, or similar role. Experience with lead generation, CRM systems, and social media management is highly preferred. Excellent organizational and time-management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and social media platforms. Familiarity with social media management tools is a plus. Ability to work independently and as part of a team, with a proactive and flexible approach. High level of professionalism, discretion, and confidentiality.
