We are now hiring an **Executive Assistant + Membership Systems Coordinator,** a grounded, highly organized systems thinker who will own the *flow* of the business so the founders can stay in vision, leadership, and creative direction. --- ## The Role at a Glance You are the person who makes sure nothing breaks, nothing slips, and nothing lives only in someone’s head. Executive Operations + Flow - Own the CEO’s operational flow: calendar management, priorities, and decision funnels - Act as the liaison between guest experts and the team for optimal project flow - Prepare clean daily/weekly decision lists so nothing lingers unresolved - Run Monday team meetings: agenda, notes, action items, follow-through - Maintain master timelines for launches, events, podcast cycles, and campaigns - Act as the first filter for operational requests before they reach the founders ### 2. Documentation + Redundancy - Document all systems clearly in Notion (step-by-step SOPs) - Ensure no critical process lives only in one person’s head - Maintain clarity so the business runs even when someone is out ### 3. Marketing Systems + Email Sequences - Build, manage, and optimize email automations and sequences (launch + evergreen) - Own funnel setup and logic across platforms (Kajabi, Kit, Zapier, etc.) - Manage onboarding, offboarding, and member journey flows - Troubleshoot and resolve automation or integration issues ### 4. Member Experience & Support Systems This role personally handles member support as both service *and* systems intelligence. - Serve as the primary responder for member support via email/help desk - Support members with navigation inside the membership, billing updates (CC changes, cancellations, refunds), and access issues - Track recurring questions, confusion points, and friction patterns - Translate support insights into system-level improvements (onboarding, emails, documentation, automations) - Create and maintain response templates and support SOPs --- ## Required - 3+ years in operations, executive support, or systems-focused roles (remote preferred) - Strong written communication with clarity and warmth - Close attention to detail and follow-through - Ability to learn new platforms quickly and independently - Proven experience in project coordination - Comfort working in fast-moving, small-team environments - Must live within the Eastern and Pacific timezones of North, Central, and South America --- ## Preferred (Nice to Have) - Experience with Kajabi, Kit (ConvertKit), Notion, Zapier - Background in membership-based or online businesses - Familiarity with launches, events, and funnels - Interest in personal development, spirituality, or somatic work --- ## Work Details - **Hours:** 20-30 hours per week - **Location:** 100% Remote (US-based preferred for timezone alignment) - **Flexible schedule** with availability during launches, one major annual event requires increased support for 3 months - **Communication:** We collaborate via Slack, Zoom, and Loom throughout the week - **Starting Pay:** $20-$25/hour USD (depending on experience) - **PTO:** 7 paid holidays of your choice (accrued through the year) - **Perks:** Multiple bonuses throughout the year, free membership, access to all courses and events --- ## Why You'll Love Working With Us **You’ll work in alignment with your design, not against it.** We don’t believe in burnout, hustle, or forcing consistency that isn’t natural.
