  • Job Summary
  • The Administrative Assistant to the Chief Clinical Operations Officer provides administrative and clerical support to the CCOO. This role ensures efficient coordination, communication, and follow-through on initiatives that support the hospital’s mission of delivering safe, high-quality, patient-centered care.
  • Essential Job Responsibilities
  • * Promote the mission, vision, and values of the organization.
  • * Manage and prioritize daily workflows to ensure timely completion of tasks, communications, and deliverables.
  • * Prepare correspondence, memos, reports, and presentations as requested.
  • * Maintain organized electronic and paper filing systems for the CCOO and associated clinical departments.
  • * Process invoices, purchase requests, expense reports, and timekeeping records in accordance with hospital policies.
  • * Safeguard sensitive and confidential information in compliance with hospital policies, privacy regulations, and professional standards.
  • * Schedule and coordinate internal and external meetings, including logistics, room setup, catering, and materials preparation.
  • * Prepare meeting agendas, take minutes, and track follow-up actions as directed.
  • * Communicate effectively with department directors, clinical staff, providers, and administrative leaders to support information flow.
  • * Provide administrative and logistical support for facility-wide initiatives and special projects led or sponsored by the CCOO.
  • * Assist with departmental projects, audits, and quality improvement initiatives.
  • * Support data collection, reporting, and tracking related to departmental goals, regulatory requirements, and accreditation activities.
  • * Gather and organize performance metrics and assist with preparation of quality and compliance reports and presentations.
  • * Maintain compliance-related documentation and accreditation materials for assigned departments.

  • Qualifications
  • * High school diploma or equivalent required.
  • * Associate’s degree or completion of business/administrative coursework preferred.
  •  
  • Experience
  • * Minimum of 3 years of administrative or clerical experience, preferably in a hospital or healthcare setting.
  • * Experience supporting senior-level management strongly preferred.
  • Professional Requirements
  • * Adhere to dress code, appearance is neat and clean.
  • * Complete annual education requirements.
  • * Maintain patient confidentiality at all times. 
  • * Report to work on time and as scheduled.
  • * Wear identification while on duty.
  • * Maintain regulatory requirements, including all state, federal and local regulations.

  • Physical Requirements and Environmental Conditions  
  • * Standard office environment
  • * Occasional evening, early morning, or weekend hours may be required to support leadership meetings or special projects.
  • * Pushing and pulling heavy objects
  • * Position requires light to moderate work with 50 pounds maximum weight to lift and carry.
  • * Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing.
